Gardeners Archway Health and Safety Policy
This Health and Safety Policy sets out how Gardeners Archway manages and promotes safe working practices in all gardening and grounds maintenance services. Our aim is to protect our employees, clients, visitors, contractors and members of the public from harm while we carry out work in gardens, outdoor spaces and shared areas.
Management at Gardeners Archway accepts overall responsibility for health and safety and is committed to maintaining safe systems of work, providing suitable training and supervision, and complying with relevant health and safety legislation and good industry practice.
Policy Objectives
The main objectives of this policy are to prevent injury and ill health, identify and control hazards related to gardening activities, provide clear guidance for employees and contractors, protect clients, visitors and the public, and continuously improve health and safety standards throughout our operations.
This policy applies to all employees, labour-only subcontractors, temporary staff and any other persons who may be engaged to carry out work on behalf of Gardeners Archway.
Responsibilities
Overall responsibility for implementing this Health and Safety Policy rests with the company management. Management will provide appropriate resources, ensure that safe working procedures are in place and reviewed, arrange suitable training and information for staff, and investigate accidents, incidents and near misses, taking corrective action where necessary.
Supervisors and team leaders are responsible for day-to-day implementation of health and safety measures on site, including communicating site-specific risks to team members, checking that equipment is suitable and in good condition, monitoring the use of personal protective equipment, and stopping work if conditions become unsafe.
All employees have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions, follow all safety instructions and procedures, correctly use the tools, machinery and protective equipment provided, report defects, hazards, accidents and near misses without delay, and cooperate with management in carrying out this policy.
Risk Assessment and Safe Systems of Work
Gardeners Archway will carry out suitable and proportionate risk assessments for typical gardening and landscaping tasks, such as grass cutting, hedge trimming, planting, weed control, tree work within our competence, use of power tools and machinery, and waste handling and removal.
Where required, site-specific assessments will be conducted to consider particular conditions, including slopes, uneven ground, restricted access, weather conditions, overhead lines, underground services, traffic movement and the presence of the public or vulnerable persons.
From these assessments, safe systems of work and method statements will be developed and communicated to staff. Employees must follow these systems at all times unless a change is authorised by a supervisor following a review of the risks.
Training, Competence and Supervision
Gardeners Archway is committed to ensuring that all staff are competent to carry out their duties safely. We will provide induction training for new starters, including an introduction to our health and safety arrangements, safe use of tools and equipment, and emergency procedures.
Task-specific training will be provided where required, particularly for powered machinery, lawn mowers, hedge trimmers, brush cutters, chainsaws where permitted, leaf blowers and other equipment. Only trained and authorised personnel may operate specialist machinery or undertake higher risk tasks.
Ongoing refresher training will be arranged where necessary, and supervision will be provided that is appropriate to the experience and competence of each employee.
Equipment, Machinery and Personal Protective Equipment
All tools and machinery used by Gardeners Archway will be maintained in a safe condition and inspected at appropriate intervals. Defective or damaged equipment must be reported immediately and taken out of use until repaired or replaced.
Where risks cannot be eliminated by other means, suitable personal protective equipment will be provided at no cost to employees. This may include safety footwear, gloves, eye and ear protection, high-visibility clothing, respiratory protection and protective clothing as required by the task and conditions.
Employees must use the protective equipment provided in accordance with training and instructions, and must report any defects or concerns to their supervisor.
Chemical Use and Environmental Considerations
When using approved garden chemicals such as herbicides, pesticides or fertilisers, Gardeners Archway will follow product safety information and industry guidance, using only substances suitable for their intended purpose and environment.
Staff involved in chemical application will receive appropriate instruction, and storage and transport of such products will be managed to prevent leaks, spills or accidental exposure. Where possible, we will consider safer alternatives and methods that minimise impact on people, pets and wildlife.
Public and Client Safety
Our teams will plan work to minimise risks to clients, visitors and the wider public. This includes controlling access to work areas where necessary, using signs and barriers where appropriate, scheduling higher risk activities at suitable times to reduce interaction with the public, and maintaining tidy work areas, keeping tools and materials organised to avoid trip hazards.
We will communicate clearly with clients about any safety considerations that may affect them, including temporary restrictions on access to certain areas while work is in progress or following chemical treatments.
Manual Handling and Physical Wellbeing
Gardeners Archway recognises that gardening involves regular manual handling activities, including lifting, carrying and repetitive movements. Risk assessments will identify tasks that may cause strain or injury, and staff will receive guidance on good manual handling techniques, use of mechanical aids where available, and safe team lifting practices.
Employees are encouraged to warm up before heavy tasks, take appropriate breaks, stay hydrated and report early signs of discomfort so that work methods can be reviewed and adjusted.
Accidents, Incidents and Emergency Procedures
All accidents, near misses and dangerous occurrences arising from our activities must be reported as soon as reasonably practicable. Records will be kept, and where needed, investigations will be carried out to identify root causes and implement corrective actions.
First aid arrangements will be made appropriate to the nature of the work and size of teams on site. Staff will be informed of emergency procedures, including how to obtain assistance, how to respond in case of injury, fire or severe weather, and how to safely stop work if conditions pose a risk.
Monitoring, Review and Policy Communication
Gardeners Archway will monitor health and safety performance through site visits, staff feedback, inspection of equipment and review of incident reports. This Health and Safety Policy and associated procedures will be reviewed regularly and updated where necessary to reflect changes in legislation, industry standards or the nature of our services.
This policy is communicated to all employees and is available to clients and other interested parties on request. Everyone working with or for Gardeners Archway is expected to support and uphold the standards set out in this Health and Safety Policy.
